Managing Data Collector Data
Export CSV
A .csv file can be exported where the data can be filtered, sorted, printed as required via a spreadsheet program. Note, the export will show what was submitted with each submission. Required documents may be blank if the document already had been uploaded in a previous submission.
Export includes Player ID and Submitter ID to improve correlation even when names change.
Data Collector Summary Tab
The Summary tab provides a per team summary of the collector progress.
- Eligibility Gating Collectors: Eligible vs Non-Eligible
- Need Info Collectors: Completed vs Need Info

Note, recently added teams or players may not initially be part of the data collector until a periodic process kicks in. These are listed in the Not ready column.
Data Collector player submission status
Select a data collector to see the submission status of each player:
- Not eligible: indicates information has not been submitted
- Eligible: indicates the data collector form has been submitted
- Need info: indicates a collector is not required for eligibility and has not been submitted
- Pass / Fail icon: a pass / fail will be shown for a submitted collector set for pass / fail
Player submission status is checked on an hourly basis. Individual player status can be refreshed or all players can be refreshed.
If a document needs to be updated annually, a new custom field document can be added and the old one disabled. Adding a question to a collector that has already been submitted will not send a submission reminder unless the collector is reset for the player. The reset will not send a reminder if the player has all submitted data (for questions and documents that are part the player’s profile).
Separate Eligibility and Registration Status
The data collector information will be on a separate line from the registration status.
- Need info: for data collectors set to not impact eligibility (e.g., high school graduation year)
- Not eligible: for any eligibility issue including a data collector that impacts eligibility (e.g., tournament liability waiver)
This information will also be displayed on the team roster.
Managing Pass/Fail Data Collectors
A data collector can be set to have pass or fail conditions. This enables users to submit a required form but indicate that the form conditions did not pass so additional action may be required.
- Pass or Fail is an option selected in the Basics settings tab.
- Select the pass / fail icon and select answers for each question that results in a failed result.
- Select the pass / fail icon and select answers for each question that results in a failed result.
- Pass or Fail indicators will be provided in the player profile and team roster.
Note, it is possible to add a Pass/Fail question to an existing Pass/Fail Data Collector. In this case, some players may already have a submission without the new question. In this case, the new question will not apply to these players when evaluating the Pass/Fail status. To have the new question considered requires that the data collector be reset which will require all players on the data collector teams to resubmit the form.
Managing Event Collectors
The dashboard provides a summary. This example is for a Pass / Fail type event collector.

Collectors on the Mobile App
The same data collector status will be available in the new mobile app.

Event Data Collectors are supported on the mobile app for families to link to the form and for coaches to monitor submissions on the field.
Admin Notifications
Club Staff and Team Staff will receive an email on Mondays that includes ineligible players which have a practice that week.
Club Staff and Team Staff will receive an email on Thursdays that includes ineligible players which have a game that weekend.
