Updating Seasons

A four step process begins when clicking on a Season → Make Current.

• Teams - Team linking
• Competition - identify competitions that no longer need to be monitored
• Events - verify upcoming custom events and competitions that should be moved to the new Season.
• Finish - step that makes the final Season switch. This step is not reversible.

Note, these steps should be done carefully. When these steps are made in bulk fashion, there is no bulk reverse process and in some cases (e.g., the Event and Finish steps are not reversible).

Season Update - Teams

The Teams tab provides a list of the teams in the new season that are not linked.

• Clicking on the Link All button will link all teams that match a team in the previous season. See section below to manually link teams.

Also provided is a list of the teams in the previous season that are not in the new Season.

• Clicking on the Duplicate team button, creates the team in the new Season.

Linking Teams

Existing teams that continue in the new season should be linked.  If the existing Season was cloned when creating the new season, with either the “teams only” or the “teams and players” option the teams will be automatically linked.  Note some updates to the linked teams may be needed:

• If some teams don’t continue in the new season they can be deleted (after moving players out of the team) in the new season. The old team will thus not be linked.
• If some teams are newly created in the new Season, they will not be linked to a team in the old season.
• If any changes to the linked teams need to be made (e.g., team names change in the new season), the team linking will need to be manually updated.

To view or update the linked team, go to the team list and click edit on the specific team menu and then go to the Advanced menu. Various permissions are associated with editing Team details. The Advanced tab may be limited to Byga Support personnel.

Before manually updating the linked team, ensure the team is not already linked to another team as no update may take place in this case. We recommend updating a link and reviewing that it has been updated.

• If no team is linked in a previous or future Season, select the team to link from the drop down list.
• If the linked team needs to be changed, first click on the Unlink and then select a team in that Season.

A team from the current season can be linked to a previous season and/or linked to the future season.  A team from the new season can be linked to the previous season but no future season.

Season Update - Competitions

The Competitions tab is used to identify competitions that no longer need to be monitored by Byga. For each competition still being monitored, a list of teams are shown.

• Teams with scores for all games in a competition can be marked as complete. This will freeze the competition standings for that team in the season. Note, even though the team has all games with scores, opponents may be missing scores.
• Teams missing scores will be indicated. These may indicate games that are missing scores or games that were canceled.
• Clone league will duplicate the league to the new season but will not copy games.
• A team that has a league with future pending games may have a “move and create placeholder” button. This will move the entire league calendar including past games. If only a handful of games remain and the whole season is preferred not to be moved, yet the season needs to be changed to a new season, it might be better to manually create the remaining games in the new season rather than carrying forward the full season especially if the games don’t apply to the new roster. (appears in both seasons)
• An additional case may appear when an upcoming tournament is on the schedule. The option “Move Only” will appear. Selecting this option will move the event onto the new season. (only in new season)
• Once the new Season is made current, players that do not register on a new season team will still have access to the calendar from their old Season.

Note this Competition step can be skipped as once the Season is made current, competitions are no longer monitored and standings on Byga will be frozen as of the Season change.  There is a tradeoff in waiting for scores to be processed in a previous season when the Club is ready to move to the new Season.

Season Update  - Events

The Events tab is used to move the upcoming custom events and competitions that should be moved to the new Season.  Click on the Move all button to complete this step.

Note future league events may appear here for informational purposes but will have a move function. These events will be tied to what is done on the Competitions tab.

Season Update  - Finish

The Finish tab is the step that activates Season switch. This step is not reversible.
