Managing Conference Schedules

Byga can be used to manage communication and coordination when scheduling League & Conference game schedules. This workflow can manage communication and coordination either just internally within a club, just externally with opponent clubs, or both. This workflow can be found in Scheduling → “League / Conference Coordination”.


Prerequisites: Fields, Teams, and Opponents should be predefined by your conference lead.


Select Available Conference Schedules

The first step is to select the conference schedules available to you. The section on the right lets you quickly scan recent updates.

Conference Scheduling Workspace

The entry point is the conference schedule with your home games on the left and your away games on the right. This is where all your work is performed. See image for an example conference workspace.


Viewing / Managing Match Schedules

Options available:

  • Click on a note to view or add a scheduling note.
  • Click on the time icon to set or change the match details.


Viewing / Managing Match Notes

When clicking on the notes icon, the user can view existing notes or add new notes:

  • Club note: these notes (as well as League notes) are visible to users in the club (based on appropriate role)
  • League note: these notes are also visible to users in the opponent club (based on appropriate role) as well as to the league coordinator.
  • Schedule change details will be included. This will include a timestamp and information on who made the update. Visibility for schedule changes are the same as League Notes.



Designated club and club opponent users will be notified when new notes are added pertinent to the user’s role.

Setting or Changing Match Time and Location

When clicking on the time icon, the user can:

  • Set the time and date
  • Set the home field from the club fields





Changes will be reflected in the event notes and the designated club and club opponent users will be notified.

Roles and Permissions

The following permissions and roles interact with Byga League / Conference Scheduling:

  • By default, users with DOC (or ECNL Admin in ECNL clubs) will have the appropriate roles to manage league schedules.


  • Coaches and/or managers, if provided the league scheduling permission can view game schedule notes but will be able to add notes for their assigned teams. They can also set the time and location for their assigned teams.


Prerequisites

Prerequisites: Fields and Teams are predefined for you by Byga. Skeleton schedule (opponents and dates) are initially predefined by your conference lead and serve as the starting point for your scheduling on Byga.
