Creating the Schedule
The following shows a draft schedule being constructed. The following items are included in this view:
- Settings and controls
- View by day or by week
- View by field or by coach
- Per team practices scheduled in blue, unscheduled in orange, optional additional practices in gray.
- Color coding control and filter by Team or Coach
- The remaining section is the workspace. Each orange team practice is dragged into the workspace. Practices can be moved or deleted in the workspace. Each row shows one field or one coach.
Settings and Controls
Settings
In Settings, the following are controlled:
- Default weekly practice session per team: this is the default which can be adjusted in the workspace for each team
- Default practice session: this is the default in minutes which can be adjusted in the workspace for each team practice
- Default practice view: this provides the viewable time for the practice workspace
- Weekend practices: this provides the viewable days of the week (weekdays or 7 days a week)
- Fields: the selected fields that were initially included when the practice schedule was created.
- Teams: the selected teams that were initially included when the practice schedule was created.
- Note, the setting for fields and teams is only for display in the workspace. Removing fields does not remove the associated events from teams or fields that have already been created in the workspace. Teams with events will have those events published when going live if hidden in this setting
- list as shown in the following warning when changing the settings.
Verify
Use the Verify tool to check for various conflicts or policies.
- Field availability (if field allocations / permits have been included)
- Restricted space Field capacity for current sessions (using square yards in team training size setting)
- Field capacity for current sessions (using practice roster count)
- Coach conflicts (considers if overlapping practice on a differently named field)
- Coach travel times (considers back to back practices with a different address)
- Include assistant coaches
Click on the (i) to see the various issues that were identified or click on Details to see all the issues that were flagged.
Note, these conflicts can be ignored as they may be intended. For example, a coach may be coaching two teams on a field that has been divided into two.
Save Changes
When any changes are made to the draft schedule, click to save the changes. If you refresh the screen, you can click Reload to not save the changes.
Go Live
Use the Go Live button to publish a schedule to all the team calendars.
Exit
Click Exit to return to the rest of the Byga Web App.
View by Day or Week
Toggle to work with a single day of the draft workspace or a full week of the draft workspace.
Drag each team’s orange practice blocks into the daily or weekly workspace in either the Fields or Coaches view. Once each orange practice block has been placed on the workspace, the block turns blue.
View by Field or by Coach
Toggle to view the the draft workspace per Team or per Coach.
Status of each Team’s Practice Sessions
Each block represents one practice session for each team:
- Blue practices are scheduled
- Orange practices are unscheduled (clicking on an orange box makes it inactive)
- Each gray box represent optional additional practices, click on one to change it to orange (i.e., unscheduled)
Team Menu
Use the menu team menu for the following functions:
- Color team by gender
- Color all teams a certain color
- Reset colors back to the default
Or as indicated on the screenshot, click on the dot next to each team to color an individual team.
Filter by Team or Coach
Use the Filter text box to filter by team name or coach name. The matching practices are highlighted in the workspace and the remaining practices are dimmed.
