Working with a Published Practice Schedule
Once a practice schedule is live. Every team calendar and every field calendar will show the practice sessions on the respective calendars.
On the list of the existing Practice Schedules, the menu for published schedules include the following:
- Settings: can update the name and the end date
- Clone: creates a draft schedule using a particular week as the weekly template
- Go live: publishes the schedule to associated teams and fields
- Merge practices: Enables to live practices to be merged. Note, many times it is particularly useful to create schedules for different sets of teams and then combine the published schedule to manage a single club schedule. One case in particular is in the case of groups of teams that have different starting or ending season dates. If the individual practice schedules need to be preserved for future use, consider cloning them prior to merging.
- Archive: use with caution as this removes practices from the team calendars
- Delete: use with caution as this removes the practice schedule and associated events from teams and fields

- Go live: publishes the schedule to associated teams and fields
- Delete: removes the practice schedule as well as associated events from the teams and fields.
A published practice schedule has two main views:
- Session view
- Calendar view
Session View
The Session view shows practices on each of the fields that were defined in the draft practice schedule.
Advanced Menu
Used the advanced menu to filter cancelled or scheduled sessions.
Also use the menu to message teams or to cancel sessions.
Advanced Menu: Message Teams
Message teams with practice sessions on specific fields and/or specific days of the week and specific start times.
Also, choose to message just team staff and/or all player contacts.
Advanced Menu: Cancel Sessions
Cancel practice sessions on specific fields and/or specific days of the week and specific start times.
Also, choose who should get notified (either no one or team staff and/or player contacts).
Calendar View
Calendar View by Field
The Calendar view shows practices on each of the fields that were defined in the draft practice schedule. A per field or per coach view is provided similar to the draft schedule.
Calendar View by Coach
The Calendar view by coach shows practices for the teams that were defined in the draft practice schedule organized by coach.
Calendar View Settings
The Calendar view provides settings for the daily time display as well as the fields and teams to include. Note, the settings are only for display in the workspace. Removing fields or teams does not remove the associated events from teams or fields.
Calendar View Advanced Menu
The Advanced menu in the Calendar view enables filtering by cancelled and/or scheduled sessions.
Weekly List View
A weekly list of events can be shown and exported in a .csv format.
Any color code used in the Calendar View is also provided in the List View.

List View Action Menu
The List View offers a multi-select cancellation option. In some cases, using the list view may be more convenient for multiple cancellations than the Session View.
Permissions
Access to recruiting is based on the permissions settings in the Roles and Permissions section of the General Settings. Many clubs will have a Field Scheduler role who is given permission to create and manage the schedules. Others that are often provided these permissions include the DOC role. Team Staff typically have access to their own team schedules. By default, team staff can add notes and can cancel centralized practices for their own team but can not change the time or field. When a change is needed and the field scheduler is not available to make a change, team staff can create custom events for their own teams and cancel centralized practices.
Access can be given to other administrators such as a DOC or a Recruiting Director.
