Shareable Form Based Registration Management

This document provides a guide to Byga Programs Management and provides a guide to managing the rosters and ongoing signups for Shareable Form Registrations.

*There is a couple of permissions related to Form Based Registrations:

  • Manage Programs
  • Manage Program entries

Note these permissions are club-wide so should be provided to roles that require them and removed when no longer required.

Note, an admin should also have the appropriate permissions to administer players and users to deal with duplicates or corrections.

Separate permissions are required to manage payments.


Sports Specific - USA Lacrosse Membership Verification

USA Lacrosse provides a service that enables verification of a player’s current membership status. Refer to the Byga Custom Form documentation for more information on the form element.





Shareable Form Based Registration:
Created in Admin → Player Registrations. If the specific program has open registration, the “Publicly accessible...” option is selected.





This document assumes the Custom Form (see separate document on setting up a custom form) has already been set up and created. A short summary of the steps are included here:

  1. Create a new Program with a “Sharable form registration” and “Publicly accessible” to allow open signups.
  2. Alternatively, use the Copy existing program as a starting point
  3. Create the program form questions
  4. Optionally include fees in the Payment tab
  5. If the program has limited availability, optionally use the Inventory tab
  6. Preview and make live when ready
  7. Get shareable link and publish on web

Getting Started & Setup

First, find a Program registration by going to the program registrations: Admin → Player Registrations







The Program menu provides various tools to manage the Program.

  • Settings: edit the Program Registration settings and form
  • Get shareable link: to distribute via your website or via email
  • Close: close the Program when it is Live
  • Make a copy: duplicate the program (e.g., for a new season). Note, prices need to be reentered.
  • Move to season (New): enables the Program to be assigned to a specific season (selection of teams will be within that season).
  • Delete: delete the Program Registration, note, if any invoices are marked as paid, the Program can not be deleted.
  • Export entries (moved): Export entries function can now be found when entering the program in the Players tab
  • Upload players (moved): Upload entries function can now be found when entering the program in the Players tab

Program Settings

In the Settings page the following is set:

  1. Program name
  2. Multi-team placement allowed: if selected, then the drag and drop placement is not available.
  3. Publicly accessible: if selected users do not require to log into an existing Byga account to access the form.
  4. Verify public submission (always recommended to avoid users that enter incorrect emails)
  5. Requires payment: if selected, the payments tab is shown.
  6. When the $submission is included in the message, the full response is included
  7. Thank you message: this message is provided upon a program form submission.
