Managing Users Directory
Byga User Management is a core capability of the Byga system.
Byga Player Management starts in Admin → Users where players can be added to the system.
Viewing Existing Users
From the Club Users screen, users can be searched (using part of the user’s name or email) or added individually or in bulk.
Users can be further filtered by Role or by Club Access level.
Displayed columns can be sorted.
A checkbox is included if the user has activated their Byga account..
Users can be in one of the following states as described below:
- Default club access
- Limited team access
- Provisional with limited access
- Deactivated: a deactivated user will not be messaged and can not log in
Exporting Existing Users
A new option is available to export users. The users to export can be filtered based on the club defined role in Admin → Users.
The export .csv file is provided in the following format:
first_name | last_name | phone | address1 | address2 | city | state | zip | last_login | activated_at | active |
- The last login and activated_at are in UTC time format rather than in the club time zone.
- 2020-08-13 13:40:20 UTC
- Active is FALSE if the user account is deactivated and TRUE otherwise.
Add a New User Individually
A player can be added individually using the +Add User button.

- roles: one or more club defined user roles (semicolon separated)
- teams: to assign a coach or manager role to a specific team, a row can include coaches or managers role and a team name in a “teams” column. When assigning a user as coach of one team and manager of a different team, they should be added on separate lines.
first_name | last_name | phone | roles | teams |
Send Activation Email Option
Select the “Send activation email to users” to send an email that will allow users to create their Club’s Byga account. Note, sometimes, a club may prefer to send activation emails only upon placement of the user’s player on a team.
Updating User Information via an Upload
Select the “Add missing info to existing users” in the upload dialog. This can be used to add missing name, phone, or roles to users (user is as defined by their email). Note, the upload will not delete, update or override existing information.
Finding and Merging Duplicates
A User Merge tool is available in the Admin → Users menu.
Known duplicates can be found using the Search option. Alternatively, using the Discover option, Byga will search the users and find possible duplicates and score and order them by their duplicate likelihood. Click on Ignore, when it is determined that these users are not to be merged.
A group of 2 or more possible duplicates can be evaluated. The steps are as follows:
- Review the individual users (click on the link to each user profile if needed)
- Retain the ones to merge and if more than two, remove any that should not be merged
- Click on the bottom of the one that should be treated as the “Master” record. Other records will be merged into the Master record.
User data fields that are missing in the Master record (e.g., name, phone, etc.) will be filled with data from the record that is eliminated. If both the Master record and the record that is eliminated have a data field (e.g., name, phone, etc), the Master data is retained. For activity or group affiliations, the merged record will combine the activity from both.
In some cases, two records can not be merged. The error notice may provide information on what is preventing the merge which can then be addressed.
Warning, merging users cannot be undone. It is the club’s responsibility to ensure that the user accounts correspond to the same user.
In order to avoid errors, users with players must match at least one player or both users must have no associated players. In some cases, two records cannot be merged. The error notice may provide information on what is preventing the merge which can then be addressed.
