Managing Existing Players

Player Details Tab

The Player Details tab provides information on the Player’s relationship to their teams and their contacts.



The following can be controlled from the team menu:

  • Player eligibility can be controlled from the Player Details tab (requires “Update Eligibility” permission)
  • The player can be removed from the team

Additional control of the player’s contacts can be controlled from the player contact.

  • Additional player contacts can be invited.
  • The player’s contacts can be messaged.
  • The player’s contact access to the players can be defined as Full or Limited. The limitations may be club defined.
  • Contact can be deactivated
  • Contact can be removed

Player contact and Player Fan Permissions

Each player contact by default is a Full Player Contact. A more limited player contact can be assigned to a Fan, Friend, Nanny, Grandparent.

The following provides more detailed information on the Player fan role and compares it to the Full Player contact role.



The following provides more detailed information on the typical Full Player contact role.

  • Player contact (may include the following or more depending on club settings)
    • Messaging / notifications
      • Receives team and club emails
      • Receives emails on registration / due / failed payments for any player invoice
      • Messaging as defined by club, e.g., message team, team staff, club staff
    • Team and player info
      • Can view player schedule / edit player availability
      • Can view and or edit player info (e.g., date of birth, documents, medical info, evaluations), and view player contact info (e..g, address).
      • Can invite additional player contacts
      • Can change full access or limited access (i.e., fan of player) role to their own player contacts
  • Player fan default permissions (these are defaults but can be changed by each club, see user management for more details on messaging controls for these limited player access contacts)
    • Messaging:
      • Receives automated notifications related to events
      • Receives team and club emails
      • Can contact team staff and team
      • Participates in team chats
    • Team and player info
      • Can view team schedule
      • Can view team roster
      • Can view availability
      • Can view player contacts

Changing assigned role

An action is available to change access from full to limited (“Limit access”) or vice versa (“Grant full access”). By default this action is provided to Player contacts.  This action will typically also be provided to certain club administrative users responsible for Byga User information.



Existing Player contacts can decide which if any existing or new player contacts should be given only a Player fan role by using the “limit access” or move a Player fan to a Player contact role by using the “Grant full access” action. The Full Player Contact will have the following menu.

If there is only one Player contact they can not reassign their role to a Player fan.

Limiting messages to contacts with limited player access

A player contact with Full Access can use the player contact menu to reduce the messages sent to a limited player access contact. Refer to the Contact Access Settings module for message options.




Player Attendance

The Player Attendance (previously called Availability) tab includes each event where attendance has been requested. The player contact (or users authorized) can provide or update a response.


Player Profile

The Player Profile tab includes standard data fields on top and custom club fields below.



The Player Profile tab for older teams includes an option to create a college recruiting profile. Please refer to separate College Recruiting Profile documentation.




Player Date of Birth Document

Date of birth portion of the Player Profile was redesigned. There are various states for the Date of Birth document:

  • Initial Blank State
  • Verified but not uploaded (e.g., players with DOB verification previously done elsewhere)


  • Uploaded and On file and Verified


  • Uploaded and On file but with verification reset




Primary and Secondary Positions

A standard set of player positions will be available for a primary and a secondary position.

Custom Player Fields (Admin View)

Verification and Expiration

Custom player fields if defined to require verification will show verification status. Click on the verification status for the following options:

  • Verification info (example shown below)
  • Mark as verified / Reset verification






Player Medical Info

The Player Profile tab includes standard data fields on the left and custom fields (Graduation year in the example) on the right.

Player Documents

The Player documents tab enables documents to be uploaded and accessed by club staff.


Player Evaluations

The Player documents tab enables documents to be uploaded and accessed by club staff.


Player Activity

The Player Activity tab provides a history of the player’s association with the club. Club staff can use the Show admin activities toggle to see additional details which are rolled up (e.g., roster  movements, placement acceptance prior to registration).

A link to the Tryout evaluation has been added to the associated Tryout activity entry.

Player Invoices

The Player Invoices tab provides all of the invoices associated with the player. Note this tab is accessible to specific club staff based on permission. Parents can access their own invoices via the Payments tab in their user profile.
