Managing Players Directory
Byga Player Management is a core capability of the Byga system.
Byga Player Management starts in Directory → Players (or Admin → Players) where players can be searched or added to the system.
- The following columns are displayed: Player ID, Player Name, Gender, DOB, and Date added to the Club.
- Players can be searched (using part of the player’s name).
- Players can be filtered based on whether they are on the roster in the current season or on the roster of a specific team group.
- Sorting is available on each of the columns.
- The filtered list can be exported in a .csv format with the following info;
- Player ID
- Player First Name
- Player Last Name
- Date of Birth
- Gender
- Number
- School
- Age Verified
- Join Date
- Last Registered
- Last Team Add
- Phone
- Address
- City
- State
- Zip
- Contact Name
- Contact First Name
- Contact Last Name
Add New Player Individually
A player can be added individually using the +Add Player button.
Required data fields:
- First Name
- Last Name
- Gender
- DOB
Optional data fields:
- Contact email
- Additional contact emails
Add Players via Upload
A player can also be added via a .CSV file. The player upload can optionally include a team name and a player contact.
The upload players popup will provide a link to download a sample upload which will include all of the supported data fields for the club.
Add Players via Upload
On an upload, a player is uniquely defined by one of the two required options below:
Required Player data fields:
- Option 1
- Player ID
- Option 2 if Player ID is not included the following fields are required
- First Name
- Last Name
- Gender
- Date of Birth
Note: if a Player ID is included it must match an existing player’s ID for the upload to be successful.,Also, if a valid Player ID is included, any Option 2 field will add or update these fields.

- School
- Medical Conditions
- Physician Name
- Physician Phone

Include Custom Player Data Fields
Additional custom fields that have been predefined can be added to player records.
Define Custom Player Data Fields
To add Custom Fields go to Admin → General Settings → Custom Fields
Custom fields can be utilized for club specific required data fields (e.g., utility number for residency, high school graduation for recruiting, etc.).
Uploading the Player File
When the upload .csv file is selected, the upload process will attempt to match the columns to the player record based on the column headers. You can edit the matched columns if needed.
Updating Player Information via an Upload
When the upload .csv file is selected, when an existing player is identified (based on the Player ID or based on First Name, Last Name, DOB), missing information will be updated. For an existing matched player, an updated data field will replace the existing data.
Using a custom Onboarding Template.
An onboarding template can be created (contact support) that can be called as part of the player upload process. This is available in Admin → User Onboarding. This will enable a custom email template to be created for player contacts that have not been onboarded to Byga. Please contact BYga customer success for more information.
Finding and Merging Duplicate Records
A Player Merge tool is available in the Admin → Players menu.
Known duplicates can be found using the Search option. Alternatively, using the Discover option, Byga will search the players and find possible duplicates and score and order them by their duplicate likelihood. Click on Review to further review the pair. Click on Ignore, when it is determined that these players are not to be merged.
A group of 2 or more possible duplicates can be evaluated. The steps are as follows:
- Review the individual players (click on the link to each user profile if needed)
- Retain the ones to merge and if more than two, remove any that should not be merged
- Click on the bottom of the one that should be treated as the “Master” record. Other records will be merged into the Master record.
Player data fields that are missing in the Master record (e.g., name, DOB, etc.) will be filled with data from the record that is eliminated. If both the Master record and the record that is eliminated have a data field (e.g., name, DOB, etc), the Master data is retained. For activity or player contacts, the merged record will combine the activity and contacts from both.
Warning: merging players cannot be undone. It is the club’s responsibility to ensure that the player accounts correspond to the same player.
In order to avoid errors, players must match name, DOB and gender. In some cases, two records cannot be merged. The error notice may provide information on what is preventing the merge which can then be addressed.
